On behalf of our client, a CEO, chairman, entrepreneur, and a globally renowned media, design, and global affairs expert, we are on the hunt for someone bright with the desire to work in a highly dynamic environment (Zurich). The position does not necessarily call for many years of experience but is, rather, an opportunity for a graduate-caliber individual who is happy to adapt to the tasks at hand. Media, Branding, Lifestyle & Design – occasional travel

Brief: Our client has a vast amount of experience and shares his multidisciplinary knowledge, educating audiences and inspiring individuals. His businesses offer bespoke solutions of exceptional quality, dealing with organizations in numerous sectors in countries all around the world. His global activities focus on current affairs, business, design, fashion, culture, and lifestyle. Amongst others, he is at the helm of a media brand, producing digital and video content that also includes an e-commerce site and places of business in several major cities. His employees work hard, have fun, and embody a collaborative style in a flexible working environment.

We are looking for a motivated individual who excels at organizing and communicating, and whose planning skills are second to none—always two steps ahead of the game. You act as Chief of Staff and the right-hand person providing professional support by maintaining an efficient working environment. Hence, the candidate who would blend in is a self-directed, trustworthy person with polished business manners and an acumen that facilitates easy dealing with people. You should be equally passionate about performing administrative duties as you are about carrying out challenging projects. Building trust and caring about every detail will be crucial to your success.

Responsibilities: Key to the role is the support of all business actions of the CEO and serving as the primary touchpoint between management, stakeholders, staff, customers, and partners. The following tasks are not exhaustive and are meant to provide an introductory overview only. You may be required to fulfill other duties, depending on the needs of the CEO’s manifold projects.

  • Support the CEO with overall assistance. Must have the ability to develop and complete projects without continued direct supervision. Occasionally accompany the CEO to meetings and communicate topics regarding project briefs to other staff members
  • Proactive and exceptional agenda management across multiple time zones. Deal with matters arising during the workday, including over-running meetings or other challenges
  • Coordinate travel, including setting priorities according to the CEO’s needs, including room and venue bookings, as well as associated logistics (i.e., transfers, visas)
  • Act as the CEO’s gatekeeper. Maintain VIP client communication and regular contact with other offices, mainly London. Ensure movements of the management team are communicated to the relevant persons
  • General admin duties, such as drafting documents, processing invoices/expenses, preparing keynotes, taking quick notes and minutes as well as responding to routine inquiries
  • Lead staff meetings and miscellaneous duties as assigned by the CEO that advance the mission of all business activities
  • Support specific projects to meet deadlines accurately. Provide first-rate, quality service
  • Travel for projects to oversee progress; provide regular updates regarding effectiveness; initiate appropriate action
  • Organize events with on-site presence, liaising with colleagues abroad to coordinate projects

Requirements: You have an interest in the luxury lifestyle, media, and design industry, with a good understanding of project management. To thrive in this position, you remain unfazed by addressing last-minute changes in plan. You go with the flow, and you are fun to work with. You are intelligent, able to converse about new business interests the CEO is involved in, and possess a get-things-done attitude, even under pressure. In simple terms: your commitment brings positive energy to any task given.

  •  Bachelor’s degree; project administration experience with exposure to management in an international environment (ideal: airline industry, five-star hotel industry, media, advertising, design, fashion, or another relevant creative environment)
  • Demonstrated experience managing complex international travel
  • Excellent command of business English in both spoken and written communication. The same applies to German; knowledge of Italian and/or French would be a major plus
  • Full proficiency with Microsoft Office programs/G-Suite (Google Calendar, Google Drive, etc.)
  • Ability to analyze situations accurately and decide proper courses of action
  • Self-starter mentality. Conscientious, with the ability to quickly adapt and execute in an organized manner
  • An agile and creative thinker with proven problem-solving skills and the ability to identify opportunities for improvement
  • Familiar with intercultural communication. Act as an approachable ambassador for the CEO’s relationships
  • Attentive to detail with first-rate time management and follow-through skills
  • Willingness to undertake a broad variety of tasks. Flexible in working in different global time zones, when required
